Job Description
Human Resource & Admin Management
- Analyze the monthly report and identify area required urgent attention and improvement in terms of staffing and disciplinary issues
- Responsible for pre-final and final screening of candidates for open position
- Constantly looking to improve and ensure completeness of the Company Handbook on a periodical basis
- Ensure compliance to policies and execution of employee benefits
- Evaluate and implement succession planning whenever possible for continuous organizational development
- Prepare annual headcount and personnel expenses to meet the budgeting process
- Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping to resolve work-related problems
- Provide current and prospective employees with information about policies, job duties, working conditions, wages, and opportunities for promotion and employee benefits
- Perform difficult staffing duties, including dealing with understaffing, refereeing disputes, firing employees, and administering disciplinary procedures including issuance of show cause letter, domestic inquiry, counselling
- Review and clean up all personnel files, statutory records, HRDF are up todate and ensure all HR related files are properly kept and locked with access by authorized persons only
- Improve communication and accuracy in payroll and other claim related matters
- Responsible for corporate policy review and update annually
- Analyse and modify compensation and benefits policies to establish competitive programs and ensure compliance with legal and group requirements
- Plan new employee orientation to foster positive attitude toward organizational objectives
- Conduct exit interview to identify reason for employee termination and resignation
- Attend to Industrial Relation issues and Labour office matters and audit
- Ensure confidentiality is maintained at all time for all HR matters with good document control methodology
- Undertake any other special assignment, ad-hoc functions and related duties as and when required e.g. monthly assembly/morning talks, annual dinner, family day, AOSD functions, etc.
- Oversee for office administration related matters including but not limited to SMM gardens, environment.
Training
- Manage for full spectrum of the HR functions including compensation and benefits, recruitment and selection, training, performance management, employee relations, industrial relations and payroll administration
- Develop and implement training & development strategy outlining recommended Training & Development needs and initiatives within the organization to meet the organization’s and the individual’s needs
- Work with departmental managers and HODs to determine specific training and development needs for both technical and leadership skills and feedback recommendations to the Management
- Source and evaluate external Training & Development programs within the approved budget to satisfy capability gaps
- Co-ordinate the implementation of the Talent Management Strategy and work with managers to compile and monitor development plans for staff identified as high potential and/or potential successors to tie in with the individual career development plan
- Review existing internal and external training programs to determine effectiveness and recommend changes where appropriate
- Work with Compliance Officer to determine required compliance and periodic refresher training requirements
- Determine and schedule compulsory legislative training as required
- Develop the annual training budget and monitors spending monthly/quarterly/annually
- Assess training and education assistance applications before making recommendation to HOD for endorsement with or without study/training bond
- Where appropriate, develop and deliver internal training programs to meet immediate training needs, including Orientation Program
- Supervise in managing the training centre/room, if any
- Collate the evaluation to ensure training effectiveness
- Coordinate the monthly morning talk to achieve its intended objective(s)
- Any other ad-hoc jobs or tasks to be assigned by the Management from time to time
Job Requirement
- Degree in Business Admin or equivalent.
- Good in writing business letters.
- Good command of English and Bahasa Malaysia. Knowledge in Mandarin is an advantage.
- Strong PR skills and effective communications skills.
- Knowledge in Labor Law is important.
- Computer knowledge is required.
- Should be independent, work under pressure, be a team player and good interpersonal skills.
